Mail Merge with Word

Mail merge is a feature of Word that will allow you to create original letters and other documents, including mailing labels and directories for a specific group of people, places or things.  The concept of mail merge is the merging of a database file containing names, addresses, phone numbers, birth dates, and other constant data into a document or form (letter for example) to produce a third document.  This third document is called the merged document, resulting from the merging of the database to the document or form.  You will learn how to create a database containing records.  Your sample database could be all of your family and friends.

Taking this class will help you with printing mailing labels from the database of family and friends so that you can decide, for example,  who will get a Christmas card, a birthday party invitation, an invitation to a retirement ceremony, etc.

The goal of this class is to show you how to use the Mail Merge feature in Word to:

  • Create letters
  • Produce mailing labels (with graphics)
  • Produce a personal directory
  • Maintain your database file

 Creating a database of family and friends may take a little time.  However, in the long run, you will see that it is a time saver because you can use your database over and over again with different documents. 

This class contains not only lecture notes but also screen images to make the learning easier. This is a FUN class! 


Computer consultant Audrey Lawrence has created a class for new or confused Mail Merge users. Mail Merging with Word will give students an understanding of Mail Merge by having them create a database file for class use and/or future personal use. They will complete the merging of database and main (form) files to produce a letter and a directory as well as producing mail labels from merge process. Students will become familiar with maintaining the database file by using the delete, add, edit and find record option as well as use the sort and filter option to effectively "select" recipients in the database file. All of the above will be given with personal tutoring.

Students must have: Full version of Word 2002, Word 2000 or Word 97. Word 2003 is also acceptable; Windows XP, Windows 2000 or Windows ME; Some keyboarding skills; Basic knowledge of Word (any version); Basic knowledge of Windows (any version). Student can work at own pace to complete lessons, however, it is recommended that one lesson per week is completed.


This course offers 1.0 CEUs upon successful completion. You may take this online course with or without CEU documentation. An online and hard-copy Certificate of Course Completion displaying your coursework and CEUs earned is included with the CEU Option.   1. Introduction to Merging - This lesson will introduce the student to the concept of merging and how it can be used to produce documents.
  2. The Merge Process (Steps 1 - 6) - The merge process for Word XP is in the form of a Wizard and includes six(6) steps. This lesson will introduce you to the six steps.
  3. Mailing Labels Merge - This lesson will show you how to use the database file from the previous lesson to create mailing labels using the Mail Merge steps.
  4. Maintaining the Database - This lesson will show you how to add records, delete records, change data. Also how to change the field names, find records, sort and filter records.
  5. Directory Merge - This lesson will show you how to use your database to create a directory merge.
